Volunteer Resources and Respite Coordinator (Full-time, 40 hrs./week)
The FamilyMeans’ Caregiving and Aging program is currently seeking a full-time Volunteer Resources and Respite Coordinator. This position’s purpose is to coordinate the FamilyMeans volunteer program to maximize support of the agency mission, activate volunteer potential, and to ensure that FamilyMeans volunteers have a successful and valuable volunteer experience. The position places particular emphasis on developing and leading volunteer-based respite programming for family/friend caregivers. This role is an hourly, nonexempt position that would work 40 hours per week. Primary location for this position would include the agency’s Stillwater, MN office, however commuting (use of vehicle and valid driver’s license) is required to meet program needs and initiatives.
- Work with agency staff to identify and develop volunteer opportunities to support FamilyMeans’ mission and to ensure successful matches between volunteers and volunteer opportunities.
- Provide structure, guidance, and training to FamilyMeans staff to ensure a positive volunteer experience.
- Monitor the agency’s Service Enterprise work plan and progress, and involve staff in its implementation.
- Guide the Service Enterprise re-certification process.
- Network with relevant community groups.
- Establish and maintain positive, proactive working relationships with volunteer support organizations, businesses and corporations, neighborhood and civic groups, congregations, and communities of color.
- Identify partnership arrangements that may help meet growing and changing needs.
- Market volunteer opportunities using traditional and innovative methods.
- Respond to volunteer inquiries in a timely and engaging manner.
- Interview, screen, and select volunteers.
- Process all paperwork and background checks required for enrolling new volunteers.
- Conduct initial orientation and training of new volunteers.
- Create and send timely and pertinent newsletters or other communications to volunteers.
- Plan and implement ongoing training sessions for volunteers.
- Develop and coordinate volunteer recognition events and other methods of acknowledgement.
- Monitor, assess and support volunteer satisfaction.
- Work with staff to handle volunteer issues and concerns.
- Coordinate and facilitate the provision and development of respite services for caregivers of people who are living with a chronic illness or disability, including dementia.
- Design and implement group respite opportunities (i.e., weekly Day Out! and/or monthly drop-in respite).
- Engage volunteer and paid experts for artistic, movement-based, or other program enhancements. Prepare and oversee volunteer involvement.
- Train and supervise in-home and group respite volunteers.
- Work collaboratively with Caregiving & Aging team members to understand client needs, advocate for volunteer needs, and come to best possible service outcomes.
- Create and manage system of volunteer records.
- Maintain volunteer database and files and document volunteer communications and contacts.
- Collect and compile service and evaluation statistics.
- Develop and maintain sensitivity to employee diversity in the work place.
- Behave in ways that demonstrate respectful treatment of other employees and clients.
- Develop cultural competence related to the services provided by the agency.
- Participate and contribute in the agency’s PQI process.
- Other duties as assigned.
- Associate’s degree in relevant field such as Social Work, Human Services, Volunteer Administration, Therapeutic Recreation, or other related field and/or equivalent experience.
- Coursework or related work experience in areas such as volunteer administration, nonprofit management, social work, human resources.
- Knowledgeable and experienced (3+ years) in all aspects of volunteer resources administration.
- 1-3 years supervisory or leadership experience
- 1-3 years’ experience working in a nonprofit or human service-type setting.
- Demonstrated ability to recruit and retain volunteers.
- Valid driver’s License required.
- Able to work effectively with individuals of diverse economic, cultural, and racial backgrounds and a wide range of volunteers including youth, adults of all ages, working individuals, retirees, individuals and groups.
- Understanding of current volunteerism trends.
- Excellent interpersonal skills.
- Ability to motivate and sustain others.
- Strong interview and assessment skills.
- Excellent organizational skills and ability to plan and manage time well.
- Proficiency with Microsoft Office Suite Programs (Word, Excel, PowerPoint, etc.) and online virtual engagement technology.
- A demonstrated empathy for caregivers and those they care for.
- Commitment to work collaboratively with all staff, volunteers, program participants, and other supporters.
- Demonstrates an understanding of dementia, disability, aging, and caregiving through professional or personal experiences.
- Bachelor’s degree in relevant field such as Social Work, Human Services, Volunteer Administration, Therapeutic Recreation, or other related field.
- Certification in Volunteer Administration or similar.
- Experience coordinating programs for caregivers.
- Experience with volunteer management programs/software, preferred.
