Executive Assistant/Development and Communications Coordinator


FamilyMeans is currently seeking a full-time Executive Assistant and Development and Communications Coordinator. This position’s purpose is to provide administrative support to the President & CEO, Board of Directors, and to the Director of Development and Communications. In this role, the incumbent will anticipate the administrative needs of the President & CEO, Board of Directors, and other agency staff as needed to deliver high quality support on a timely basis. In addition, the individual will increase the public’s awareness of FamilyMeans, promote agency programs and services in a positive manner, foster effective communication with agency constituents, contribute to the development of financial support for the organization, accomplish broad communications and development goals, and respond to requests from external audiences. This role is a salaried, exempt position that would work 40 hours per week. The primary location for this position would include the agency’s Stillwater, MN office.


  • Provide administrative support for the President & CEO, Board of Directors, and for the Director of Development and Communications
  • Represent the President & CEO internally and externally in organizing the work of the President & CEO, Board of Directors and the Director of Development and Communications
  • Provide confidential administrative support with correspondence, reports, and emails
  • Work with President & CEO to plan Board/Committee meeting agendas, advance materials, and meeting minutes
  • Attend Board/Committee meetings to take and produce minutes
  • Coordinate the timely and accurate distribution of information to the Board of Directors
  • Execute initiatives and provide support to the Development and Communications Department; accomplishing broad communications and development goals 
  • Manage and maintain agency branding standards
  • Promote and support implementation of fundraisning events
  • Increase public's awareness of FamilyMeans
  • Promote agency programs and services in a positive manner
  • Foster effective communication wth agency constituents
  • Contribute to the development of financial support for the organization
  • Meet day-to-day marketing, comunications, public relations, and fund development needs
  • Other duties as assigned

 Required Qualifications:

  • Bachelor’s degree in communications, public relations, marketing or related field is strongly desired
  • Minimum of one to two years of experience in public relations, communications, marketing and/or fund development
  • Experience working in a private nonprofit, healthcare, or human service setting is preferred
  • Minimum of one to two years of experience working with and assisting individuals in executive-level positions and previous experience working with a nonprofit board of directors is highly desired
  • Strong writing and editing skills
  • Excellent verbal communication and interpersonal skills
  • A sound working knowledge of public relations and marketing
  • Understanding of the role of the nonprofit sector and philanthropy
  • Knowledge of and ability to effectively use the computer and other technical resources to accomplish work
  • Ability to produce creative, cost effective solutions to communications challenges
  • Ability to manage multiple tasks and work with multiple deadlines and at the same time in a timely and productive manner, value attention to accuracy and detail
  • Commitment to work collaboratively with all staff, volunteers, program participants, and other supporters
  • Knowledge of word processing and other Microsoft Office applications and database administration
  • Ability to cultivate relationships and work effectively with board members, donors and volunteers
  • Ability to prepare for and staff effective meetings
  • Ability to learn and use new technologies, software products and social networking
  • Familiar with social media communication and webpage management/coding
